Presentation Guide for Speakers

To ensure that all speaker's presentations are uploaded to the correct rooms and ready for their scheduled times, we ask that you carefully review the following information:


Presentation Formats                                                                                

  • We recommend PowerPoint for all users but will accept PDF files for presentations.

  • Preferred slide format is 16:9

    • To change to this format: in PowerPoint click on: Design/SlideSize/Widescreen(16:9).

  • All video files .mp4 or .mov

  • Web browsers with typical plug-ins will also be available, including Google Chrome.

  • The computers in the presentation rooms will be PC Laptops (Mac computers are not available​), Microsoft Windows 10 with Power Point 2016 installed

 

The “pack and go” feature of PowerPoint may also be useful if there are video or sound files associated with the presentation. It will create a single compressed file, which will contain all the video and sound files, which can then be unpacked in the speaker ready room. This can be done in PowerPoint by selecting: File/Export/Pack and Go.

Checking your presentation: AT LEAST 3 HOURS BEFORE YOUR SESSION     

You must arrive in the Speaker Ready Room at least 3 hours before your session to upload and review your presentation. If your presentation is in the morning, please check-in the day before. You will be able to edit your presentation at this time. Once you are through reviewing your presentation and verifying it is ready, onsite personnel will queue your presentation.

Each session room will be staffed with an audiovisual (AV) person, who will assist in starting each presentation. Once the presentation is launched, you (the speaker) will control the program from the podium using a presenter.

The use of personal laptops for presentations at the conference is prohibited.

 

Presentation release form                                                                                 

When uploading your presentation on-site, you will be given a release form to sign. This allows us to catalogue your presentation for access by Velo-city 2019 delegates. Velo-city 2019 organizing committee and the European Cyclists’ Federation will not sell or copyright the content of your presentation – it will be saved for educational and archival purposes only.

 

 Speaker Ready Room: Location and opening hours                                    

The Speaker Ready Room is located inside the CCD on the first floor in “Liffey Boardroom 2”. The Speaker Ready Room will be open from Monday afternoon and throughout the conference week to facilitate the process of checking your presentation. We encourage all speakers to make use of this facility as early as possible.
